Hours

Part-Time in Non-Busy Season (Approx. October 1st thru April 30th), 25+/- hours, Monday thru Friday 7:30 AM to 12:30 PM. 

Full Time in Busy Season (Approx. May 1st thru September 30th), 40+/- hours, Monday thru Friday 7:30 AM to 4:30 PM. Mandatory One Hour Lunch Break from 12:30 PM to 1:30 PM.

*Busy and Non-Busy months may vary year over year but will be roughly the months mentioned above. President, Kit, is in charge of this positions daily work schedule.

Responsibilities

  • - Provide excellent over-the-phone and in-person customer service to all customers, van line representatives, and vendors.
  • - Conduct all company business and interactions with co-workers and owners in a professional and respectful manner.
  • - Be the first to answer incoming phone calls on the 1st or 2nd ring, if not already on the phone with a customer. Place a caller on hold to answer another incoming phone call before it goes to voice mail if the other in-office staff members are not available to pick-up by the 5th ring.
  • - Follow-up with all online and after-hours voice mail customer leads.
  • - Schedule sales appointments with potential customers over the phone or via email using our Appointment Sheets and Google Calendar.
  • - Pick-up daily mail at our onsite mailbox and hand the mail over to Kit, Chris or Gene.
  • - Assign job numbers, create customer folder labels for every customer folder, and create driver/crew leader instruction paperwork.
  • - Enter all ITS Global sales appointment leads/potential customers into the Sales-Lead Tracker Module (Direct Systems).
  • - Enter all non-ITS Global booked move customer information into the Customer Service/Dispatch Manager Module (Direct Systems).
  • - Email all ITS Global customers an informative Move Confirmation document before their scheduled move date.
  • - Track and manage monthly Customer Reviews and monthly Customer Review winners for monthly drawing.
  • - Order office supplies, as needed, with approval from the Owners.
  • - Keep track of uniforms on-hand. Notify the President, Kit when we are low on inventory.
  • - Any additional daily tasks or projects provided to the Administrative Assistant by Gene, Chris, Kit or the Office Manager in-person or via text during business hours.

Education Requirements

  • - High School Graduate or GED equivalent is required. Post high school education is a plus.

Experience Requirements

  • - Proficient with Microsoft (Outlook, Word, Excel).
  • - Customer Service experience is a plus.
  • - MUST BE ABLE TO PASS A PRE-EMPLOYMENT DRUG TEST* AND VERIFY EMPLOYMENT. *We do not test for cannabis.

  • - Attention to detail with a high level of accuracy.
  • - Work with minimal supervision and possess problem solving skills.
  • - Effectively prioritize and meet work deadlines.
  • - Ability to produce and communicate professional business correspondence via email, letter or telephonically.
  • - Above average verbal and written communication skills.
  • - Be a team player in a small office “family” environment.
  • - Proficiency and operational knowledge of common office equipment, e.g.: computers, phones and copy/fax machines.
